Responsibilities and Terms

The following information is being provided so that everyone on our tours will have an enjoyable time. Please read our policies before making final payment and/or starting the trip.
 
Payment Terms: We require a deposit of $500 per person. Please fill out the Registration Form and return it to 6116 Garvin Street, Omaha, NE 68152. Upon receipt, we will process your payment and send you a confirmation email. In February prior to your rendezvous date, we will send you a Rendezvous Package that includes information you will need prior to departure. Final payment is due March 1st prior to the trek departure date. All payments must be made in U.S. funds.

Responsibility of ADVENTURE TREKS: ADVENTURE TREKS agrees to plan, organize and guide the tour. Whoever joins an ADVENTURE TREKS tour does so at their own risk and responsibility and agrees to release and indemnify ADVENTURE TREKS, tour leaders, agents and employees from all liability, loss, damage claim whether caused by ADVENTURE TREKS, tour leaders, agents or employees. ADVENTURE TREKS acts as an agent for other tour operators, sightseeing companies and transportation providers included in the tour itinerary and is not the owner or operator for these services. We reserve the right to cancel or alter any itinerary, as conditions require. Cancellation or changes may include meals, shows, tours, route, or campgrounds. Any cancellations or changes are made due to circumstances beyond our control or are in the best interest of the tour members. We reserve the right to substitute shows, performances and tours when scheduled events are not available. ADVENTURE TREKS Tour leaders, Tailgunners, representatives, employees or agents are not responsible for any expense due to delays caused by weather, mechanical problems or other circumstances beyond our control, nor are we responsible for any cancellations or transportation in these tours. ADVENTURE TREKS reserves the right to cancel any scheduled tour prior to departure in which case all deposits and payments made by the tour members to ADVENTURE TREKS, will be refunded.

Cancellation, Change & Refund Policy: Adventure Treks is required to pay vendors well in advance of your tour date. Each vendor has its own cancellation policy—many of which are restrictive—and these policies apply to your booking with us. Because of this, we strongly encourage you to review the information below and reach out with any questions. For all cancellation or change requests, please email us at [email protected].
 
Changing Your Tour Date - You may switch your tour to another date any time before March 1st of your travel year.
  • All monies paid will transfer to your new tour date.
  • A $100 change fee applies to the first date change.
  • After your tour has been moved once, each additional change incurs a $500 fee.
Cancellation & Refund Policy - Refunds are based on the date we receive your written cancellation request.
  • Before March 1st of your tour year - 100% refund of monies paid, Minus a $500 cancellation fee
  • March 2nd through May 1st of your tour year - 75% refund of monies paid
  • May 2nd through 1 day prior to tour start - 50% refund of monies paid
  • After the tour begins - No refund or credit is available. Tours officially begin at 12:00 PM (noon) on the published rendezvous date
 
Travel Insurance Recommendation - Because vendor payments are made far in advance and cancellation windows are limited, we strongly recommend purchasing travel insurance. Explore www.TravelInsurance.com as they will research over a dozen vendors for the best options to protect your investment in the event of illness, emergencies, or unexpected changes.
 
Tour Member Responsibility: By registering for a tour and submitting the required deposit, tour members acknowledge and agree to the responsibilities, conditions, and terms outlined in this agreement.
 
Tour members are responsible for their own conduct and actions throughout the tour. This includes matters related to insurance, vehicle maintenance, vehicle damage, traffic or legal infractions, medical liabilities, and any other personal loss. Tour members are also expected to cooperate fully with the tour leaders and follow all reasonable instructions provided for the safety and enjoyment of the group.
 
Tour leaders reserve the right to decline to retain any individual as a member of the tour—without refund—if their behavior is deemed contrary to the best interests of the group.
 
Any tour member who fails to appear, deviates from the itinerary, or leaves the tour early for any reason forfeits all fees paid. However, the tour member may rejoin the same tour later in the trip without penalty, provided they communicate their intentions with the tour leader and are able to safely reconnect with the group.
